Set the board packs scope

Assemble a Board Meeting Pack starts with a written boundary. Name the request, the source, the owner, and the evidence. A clear rule keeps routine coordination separate from executive judgment.

The main risk is that a board can receive an outdated paper or an incomplete agenda. Record the source and time before changing a status.

Capture the evidence

A usable record includes meeting, paper, version, owner, approval, distribution, and date. Keep the source beside the record so another reviewer can reconstruct what happened.

The chief of staff confirms the decision or exception. The assistant can check versions, assemble the pack, and route approvals, but should not fill a gap with an assumption.

Separate preparation from judgment

Decisions about board content and disclosure decisions remain with the authorized owner. Use three labels: proceed, pause for missing evidence, and escalate.

Run the review

Review missing papers, version conflicts, and distribution time. For example, a board paper changes the night before. Record what evidence was available and who owned the next step.

Pilot one workflow

Start with one board cycle. Test the checklist on a small batch and review exceptions with the owner.
